Landlords guide to letting a property

Arrange a property rental valuation: Once you’ve made an appointment, we’ll come and chat to you about whether you’d like our managed service (this includes handling tenancy fees, carrying out an inventory, quarterly property inspections, managing repairs etc) or tenant find service (where we find you someone to rent your property to). Having carried out a full inspection of the property, we’ll also advise on the recommended marketing figure and our fees.

List your property to let: This is where we take the full details and photos that will be used to market your rental property. Once it’s online we start to arrange viewings, discuss any conditions and take a holding deposit where there’s an interested party.

Reference checks: We then make sure the relevant reference checks are carried out – these include employment and affordability checks, character checks, credit checks and previous tenancy checks.

Moving in date: Once the reference checks have come back clear, we liaise with you and the tenant to agree a suitable move in day. At this stage we recommend a full inventory is carried out to ensure the property is maintained to the same standard it was left, especially if we’re not managing the rental for you. Where we are managing your rental, we’ll have prepared your inventory in advance, ready to send to the tenant for their signed approval on moving in day.

Completion statement: You will receive a completion statement prior to move in day. This will include a breakdown of costs and what will be due to you on the day of occupancy. If Tenant Find only this will be your first month’s rent minus the fee due to us for finding you a tenant, the tenant will transfer you the damage deposit direct. For the fully managed service this will be with our agreed fees deducted, we will handle the damage deposit for you and place it in a government backed holding scheme.

Move in day: For those using our tenant find service we ask you to drop two sets of keys into Embleys and we will sign three tenancy agreements (a copy for you, one for the tenant and one for us) on your behalf and then issue you with your copy once fully signed by all parties. If you don’t meet the tenant, for example if you opt for the tenant find service only, it’s always nice to give them a courtesy call to introduce yourself and welcome them to their new home and provide account details for future rent payments.

Move in day: For those using our managed service, you have the added peace of mind of knowing we are regularly checking your property against the inventory, are holding the tenant’s damage deposit securely in a government-backed deposit protection scheme and that we have ensured all relevant documentation including the CP12 certificate (gas safety report), EICR certificate (electrical safety report), tenancy agreement and keys have been handed to the tenant. Furthermore, throughout the entire tenancy we’ll sort maintenance issues, rental payments and property inspections – we’re here to ensure everything runs smoothly so you don’t have to worry.

Tenants guide to renting a property with Embleys

Consider your requirements: Think about where you’d like to live and what amenities you need nearby – are schools and public transport important? Start your search and view any matching rental properties.

Get your finance sorted: Up front you usually need one month’s rent and a damage deposit (the equivalent of one month’s rent). You’ll also need a holding deposit, which is deducted off your first month’s rent if agreed by yourself, once your references are approved. Please see Tenancy Information for further information on prohibited payments.

Make an offer: If you are interested in taking a property on, make an offer along with any conditions you require i.e. length of tenancy, if you have pets, how quickly you can take occupancy etc. Once one has been accepted we’ll lead negotiations until an agreement is reached. Once the landlord has accepted your offer we will require you to complete our application form and for the holding deposit (equivalent to one weeks rent) to be provided to us. Once received this will secure the property and take it off the rental market while the references take place.

Provide details for reference checks: We send off for reference checks for you and our referencing company will contact you direct with a form to complete. Once these checks have been approved we will get back in touch to discuss a move in day with you and the landlord.

Completion statement: You will receive the completion statement prior to your move in date, which will include the breakdown of costs payable before move in day.

Move in day: Before the day of your occupancy we would have already sent you your tenancy agreement and all relevant paperwork to sign, complete and obtain so on move in day you would just need to attend the branch to collect your keys. If managed you will have been sent a full inventory for you to check over and return within 7 days.
